Administrative Assistant 

Salary: £23,151.50 per annum pro-rata (£12.69 per Hr.)

Location: Paignton, Brixham & Torquay Family Hub - You must be able to travel to all services when required.

Contract/Hours: Casual contract to cover sickness and holidays when required.

Closing Date: Midnight on Sunday the 20th Of July 2025.

About the service and the role 

Action for Children are part of 0 to 19 Torbay. Working alongside the Local Authority ensuring the Family Hubs are a place children, young people and families can access support or information in a variety of ways.

Our Business Support Team is crucial in supporting this.  Collating and gathering information,  inputting data, gathering feedback and most importantly being a friendly face of the Hubs. Warmth and Kindness is what we breathe.

A bit about the role 

Join our team as a casual Administrative Assistant, the heart of our operations, managing enquiries from management and employees across various communication platforms, this requires effective seamless communication for a productive workflow. 

You’ll welcome and direct visitors, manage multiple diaries, room bookings and expertly handle precise data inputting.  Other general admin tasks will include photocopying and ordering stationery and cleaning supplies. 

This role requires strong IT and communication skills, The ability to manage a busy workload and to be able to work independently and as part of a team.

We run sessions on weekends and evenings, and there is an expectation that our staff will need to work occasionally to cover these.

You will be the first point of contact for children, young people, families, and professionals who contact the service, so will need to be approachable, compassionate, and empathetic. 

How you'll help to create brighter futures

  • Undertaking varied administrative tasks including reception duty, meeting and greeting visitors, photocopying, filing, data input and collation and operating systems.
  • Assisting or taking the lead responsibility for producing letters, reports and other documents using IT systems including MS Outlook, Excel and Word. 
  • Working collaboratively as part of a team and provide help and support to other team members.
  • Answering the phones ensuring messages are processed and other enquiries dealt with in the appropriate manner. 
  • Processing incoming and outgoing post as required.
  • Attending courses and training events as required to enhance skills, knowledge and experience to enable you to thrive in the role.

 

Let's talk about you

  • Experience of working independently to plan and manage your own workload to meet organisational deadlines and shared goals, will be essential.
  • Business Administration S/NVQ Level 2 desirable or work-related experience.
  • Confident communicator with the ability to deliver and manage basic written and oral communication effectively.
  • A high understanding of Microsoft package specifically Word, Excel, and Outlook.
  • Good attention to detail, highly organised and adaptable to accommodate the needs of the service.
