Job description

We are seeking a highly motivated and proactive Business Administrator to join our dynamic team and provide essential support to the Executive Assistant to the Managing Director. This diverse role will encompass a wide range of administrative and operational tasks, offering a fantastic opportunity for a keen and ambitious individual to learn and grow within a fast-paced environment. The ideal candidate will be a quick learner with a proactive approach, able to take initiative and work independently while maintaining high levels of accuracy and attention to detail.

The role is hybrid and part-time, comprising 20 hours a week, with 2 office-based days at our Pynes Hill office. Flexible working hours to be discussed. Free, private parking is available.

THE ROLE

The role will incorporate a range of different responsibilities, working across the business with stakeholders at various levels to promote and maintain an efficient working environment. This will include:

  • General administration

    • Acting as a key player in facilitating strong communication between senior management and the wider management team

    • Formatting data for internal company presentations

    • Proofreading documents, including marketing materials and company communications

    • Assisting in the organisation of team events and socials

  • Data collection

    • Working closely with department heads to collect and report on key data points

    • Identifying data gaps and putting processes in place to improve clarity

  • Office management

    • Acting as a point of contact for the office, receiving and directing inbound communications

    • Liaising between the team and third parties regarding maintenance requirements

    • Auditing and ordering office supplies

    • Assisting the team with any non-routine administrative matters

  • Accounts assistance

    • Assisting with occasional financial tasks, including invoice processing, payment requests, and fee calculations.

Job requirements

  • Essential skills

    • Excellent communication and interpersonal skills: Proven ability to interact effectively with individuals at all levels, both internally and externally.

    • Strong organisational and time management skills: Ability to prioritise tasks, meet deadlines, and manage multiple projects simultaneously.  

    • Proficiency in Microsoft Office Suite: Word, Excel, PowerPoint, Outlook.

    • Data entry and analysis skills: Accuracy and attention to detail are paramount.

    • Problem-solving and analytical skills: Ability to identify and resolve issues independently.

    • Initiative and proactiveness: Ability to work independently, take ownership of tasks, and anticipate needs.

    • Strong reading and writing skills: Excellent written and verbal communication skills are essential for proofreading, report writing, and clear, concise communication.

  • Desirable skills

    • Experience with CRM or project management software.

    • Previous experience in an administrative or support role.
