Property Co-ordinator

Reporting to Property Director

Overview

This is a unique role within the business. Working closely will the Property Director, the Property Co-ordinator will be a key communicator between the field and all the different head office departments, making sure the company has an accurate log of all stores that it is targeting each year, and the current status.  Attention to detail, accuracy and up to date information is business critical between mid July and mid October, when the Property Co-ordinator will have their busiest few months.

Specific tasks

  • Gather the previous years data on stores, sales, rents, other costs, and prepare a contribution analysis per store
  • Prepare summaries by landlord
  • Update all relevant reports in preparation for the coming Season
  • Update the new database with stores ready for next Season
  • Provide admin assistance for Property Director, sending out emails, offers, following up on phone calls
  • Liaising with Property Director, agents, TMS, solicitors, landlords, and HO staff on legal status of all properties, and open and close dates
  • Liaising with Property Director on opening and closing dates, monitoring store trading days against targets
  • Reading all the licences thoroughly checking for specific clauses and amending as required
  • Setting store budgets based on info from Property Director
  • Send out weekly updates to the whole company on latest property info
  • Signing off rent payments for the accounts department
  • Preparing end of year turnover certificates

Skills required

  • Attention to detail / accuracy
  • Communication is vital, phone calls must be the primary form of communication, with emails used to follow up on conversations
  • Numeracy and excel skills to work with the store budgets and rents
  • Articulate, with a good level of comprehension, and an excellent level spelling and grammar for dealing with solicitors and landlords

Additional Information

The candidate must be personable, and able to work under pressure.  Working hours will be long in August and September. The role is so pivotal at this crucial time, the candidate must be 100% confident in their ability and willingness to put in the hours necessary to get the job done.
